Exciting New Features Released to Telema eFlow: Taking Your Invoice Management to New Heights

At Telema, we’re always working to make your invoice management process faster, smarter, and more efficient. We are happy to announce the latest updates to Telema eFlow that will provide you with even more control, flexibility, and transparency when handling your purchase invoices. These new features are designed to improve your workflows and simplify the way you manage your day-to-day tasks.

What’s New in Telema eFlow?

1. View the Email Subject and Body Alongside Invoices

Ever wondered if an email accompanying an invoice contains additional important information? Now, with our latest update, you can view not only the purchase invoice that was sent to Robin – our trusty eFlow robot – but also the subject and body of the email that included it. This feature allows for quicker reference of any additional instructions or details that might otherwise be overlooked. Please note that only PDF invoices are sent to Robin via email, e-invoices are not sent via email and hence, for e-invoices, no email is displayed. Click on the Email content to see the main details of the incoming email, and click on “View full email” to display the entire email.

2. Access Supplier’s Previous Invoices Directly in Invoice Detail View

Getting a clear overview of your supplier’s recent invoice history has never been easier. Users can now access up to five previous invoices from the same supplier directly within the invoice details view. This provides quick insights into past dealings and helps you make better, data-driven decisions when reviewing, coding or approving invoices.

Simply click on Supplier’s Last Invoices, and a list that contains up to five last invoices from that supplier will open up. Invoice numbers are highlighted in red and are clickable links that open up the desired invoice. If after reviewing five previous invoices from the supplier has not given you the answers you need, you can also click on “View all invoices”, which will open up a list of all previous invoices from that supplier.

3. New Coding Rule Condition: Delivery Location

To offer even more precision in automating your invoice handling, we’ve introduced new coding rule conditions: delivered to and delivery address. This feature allows you to tailor your automation rules based on where goods or services are delivered, helping streamline coding and approval processes. For example, if all goods delivered to your Valga warehouse need to be coded the same way or sent for approval to the same users constantly, and the e-invoice correctly includes this information, you can now automate this flow. To make flows automatic based on delivery location name or address, it is vitally important that this information be contained in the e-invoice. Reach out to your supplier if this data is not available, but it would be beneficial for you.

4. Add Multiple Approvers in Sidesteps

Need to involve multiple decision-makers for a single invoice? With the new update, you can now add several approvers when creating a sidestep, offering greater flexibility in your approval workflows. This is perfect for invoices that require input from multiple departments or stakeholders.

5. Option to Choose Whether Invoice Returns After Sidestep

We’ve listened to your feedback and are introducing the option to choose whether an invoice should return to you after it’s been sidestepped. If re-reviewing invoices doesn’t add value to your process, you can now eliminate this extra step, saving time while keeping workflows efficient.

6. Option to Unclaim an Invoice

When a user has started working on an invoice, they can decide to unclaim it by releasing it to the eFlow workdesk where other users can pick it up. You can find the “Unclaim” action under the “Other actions” menu item when you’ve claimed an invoice onto your desk and started processing it.
